About the Role
We are excited to invite an Executive Assistant to join our dynamic corporate team at ADG. In this pivotal role, you will report directly to the Chief Executive Officer (CEO) and play a crucial part in driving the company's strategic initiatives. Your primary responsibilities will include:
- Effective Planning and Coordination: Organise and prioritize the CEO's schedule to ensure optimal time management and focus on key objectives.
- Organisational Support: Provide comprehensive administrative support, facilitating smooth operations and communication within the Senior Leadership Team.
- Strategic Alignment: Assist the CEO in executing the company's strategies and targets, ensuring alignment across various projects and initiatives.
Key Accountabilities
- Supporting the Chief Executive Officer (CEO), to provide support to the Senior Leadership Team (SLT) as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
- Act as a liaison between the CEO and internal/external stakeholders.
- Manage confidential information with discretion and professionalism.
- Supporting the CEO in preparation and coordination of Board presentations and documents.
- Maintain and refine internal processes that support our senior leaders, coordinating internal and external resources to expedite workflow.
- Liaising with internal and external senior leaders on various projects and tasks.
- Draft and proofread documents ensuring they reflect the CEO's tone and style.
- Plan and orchestrate work to ensure our senior leaders priorities are met, organizational goals are achieved, and best practices are upheld.
- Manage the CEO's time commitments and diary to ensure urgent matters are prioritised and make the most efficient use of resources.
- Collaborating with the business to identify process improvements and maintain the efficiency competitiveness of the business.
About the Person
As the Executive Assistant to the CEO, you will play a pivotal role in ensuring the efficiency and effectiveness of our operations. You will be the right hand to the CEO, managing their schedule, facilitating communication, and coordinating key projects. Your organisational skills and attention to detail will be crucial in helping the CEO focus on strategic initiatives while you handle day-to-day administrative tasks. This role requires a proactive individual who thrives in a fast-paced environment and is committed to maintaining the highest level of professionalism and confidentiality.
Skills & Experience
- Bachelor of Business Administration or Diploma in related field (Advantageous)
- A minimum five years' corporate Executive Assistance experience (preferably in the engineering / construction industry)
- Proven commercial skills
- Demonstrated ability to multi-task and work in a fast-paced office setting
- Demonstrated high level professional judgement in complex and sensitive matters.
- A proven team player with exceptional interpersonal skills.
- Proven ability to cope with conflict and stressful situations.
- Advanced level skills with MS Office.
